Privacy Policy
1.Our approach to privacy
Piramade Pty Ltd (“Piramade”, “we”, “our”, or “us”) is an Australian company, and we are committed to protecting and respecting your privacy. This privacy policy sets out how we collect, store, process, transfer, share and use data that identifies or is associated with you (“personal information”) when you: (a) visit www.piramade.com (the “Website”); and (b) if your firm is a Piramade customer, use the Piramade platform, being the Piramade web application together with any software we provide for your firm to install on its own systems, including the Piramade Connector (the “Services”). This privacy policy also provides information regarding our use of cookies and similar technologies.

2.Two kinds of information
Information about you: your account, Website visits and our correspondence with you. We decide how this is handled, and you can exercise your rights over it directly with us.
Your firm’s files: the documents a Piramade customer firm makes available to Piramade, and everything we derive from those documents (extracted text, summaries, metadata, embeddings, and search indexes). We call this Customer Content and handle it to provide the Services. If your personal information appears inside a customer’s documents, direct requests about it to that firm; if you contact us, we will refer your request on.
We do not sell personal information or Customer Content, use it for advertising, or use it to train AI models.
3.What we collect
- 3.1Account information: name, work email, company and role. Passwords are stored only in hashed form by our authentication provider; we never see them.
- 3.2Usage and security information: audit records of significant account actions, product analytics events, error reports, and standard server logs (IP address, browser, timestamps).
- 3.3Connector information: operational data reported by the Connector, including version, health status, machine details, file counts, errors, and the folder paths it is configured to sync. The Connector authenticates to Piramade with short-lived, tenant-scoped upload credentials.
- 3.4Billing information: the billing contact’s name and email, and a record of invoices and payments. Card and bank details are collected and processed by our payment provider, not by us.
- 3.5Enquiries: details you submit through our contact and early-access forms, and any correspondence with us.
4.Your firm’s files
Piramade makes an engineering firm’s own project documents searchable by its own staff. Your firm decides what is indexed: a newly installed Connector uploads nothing until an administrator approves which folders are in scope, and your firm can change that scope at any time. The Connector is read-only; it never modifies or deletes your files.
Uploaded files are processed into extracted text, metadata, summaries and embeddings that power search. Search results link back to the original file on your firm’s own server, where your firm’s existing permissions apply. Authorised Piramade staff can access customer environments to provide support and keep the Services running, subject to confidentiality obligations.
5.How we use information
- 5.1to provide, secure and support the Website and the Services;
- 5.2to diagnose faults and improve reliability;
- 5.3to understand how the product is used;
- 5.4to respond to enquiries and send service messages;
- 5.5to comply with the law.
6.Cookies and analytics
We set essential cookies that the Website and the Services need to work, such as the cookie that records your cookie preferences and the authentication cookies that keep you signed in. We use PostHog (hosted in the EU) for product analytics, with your consent where the law requires it. You can change your choice any time via the “Cookie preferences” link in the footer. We use Sentry for error monitoring. We do not use advertising cookies or ad networks.
7.AI processing
Piramade uses AI to make documents searchable by extracting text and metadata, writing summaries, and generating embeddings. This runs on our cloud provider’s managed AI service within Australia. Your content is not used to train the underlying models and is not shared with model providers. Summaries are search aids and may occasionally be inaccurate; the original files on your firm’s server remain the source of truth.
8.Where information is held, and who sees it
Customer Content is stored and processed in Australia. Analytics and error-monitoring data is held in the EU, and web traffic may transit our hosting provider’s global network. We share personal information only with the service providers who help us run the Website and the Services (under contracts requiring confidentiality), with your firm’s own administrators, or where the law requires it. If our business is ever sold or merged, your information may transfer to the new owner, who must honour this policy and your firm’s agreement with us.
9.Retention and security
We keep personal information only as long as we need it. Customer Content is deleted within 90 days of termination of the Services. We protect information with encryption in transit and at rest, per-customer data separation, role-based access controls, and audit logging. If a data breach is likely to result in serious harm, we will notify you and the relevant regulator as required by law.
10.Your rights
Depending on where you live, you may have rights to access, correct or delete your personal information, and to object to how it is used. To exercise them, email privacy@piramade.com. We will verify your identity and respond within the period the applicable law requires.
11.Children
The Website and the Services are business software. They are not directed to children, and we do not knowingly collect personal information from anyone under 18.
12.Changes to this policy
We may update this privacy policy from time to time and so you should review this page periodically. When we change this privacy policy in a material way, we will update the “last modified” date at the end of this privacy policy. Changes to this privacy policy are effective when they are posted on this page.
13.Notice to you
If we need to provide you with information about something, whether for legal, marketing or other business related purposes, we will select what we believe is the best way to get in contact with you. We will usually do this through email or by placing a notice on the Website.
